Setting up an email inbox in the Gmail interface

In this tutorial, we will go through the necessary steps to set up your own email inbox in the Gmail interface.

Introduction

  • The online interface offered by Gmail for checking email boxes can also be used as an email client for external Gmail boxes.

Requirements 

  • The login credentials for the Gmail account where you want to add the external mailbox.

Steps

  • We will log into the Gmail account, and then click on the Settings button.

  • Next, we will click on Accounts and Import.

  • Different Gmail account settings will be loaded. We will click on Add a Mail Account from the Check Mail from Other Accounts field.Adding mail account
  • The interface for adding an external mailbox will appear. In the Email Address field, we will fill in the external email address and click on Next. As an example, we will use the address office@demo.hostico.ro.

  • Next, we will check the option Import emails from my other account (POP3) and click Next.

  • In the next window, we will be able to set the authentication details and other options for the external mailbox. The fields will be filled in as follows:
    - Username: The external email box.
    - Password: The password for the external email box.
    - POP Server: The address of the mail server where the external box is located. This could be the domain name, IP, mail.domain.tld, etc.
    - Port: The external server port to which Gmail will connect: 995 for secure connection or 110 for non-secure connection.
    - Leave a copy of retrieved message on the server: Check this if we want Gmail to keep a copy of the emails on the external server. If this option is not checked, Gmail will delete the emails on the external server.
    - Always use a secure connection (SSL) when retrieving mail: Connections will strictly be made through secure ports.
    - Label incoming messages: Check this if we want to set a label for emails downloaded from the external mailbox.
    - Archive incoming messages (Skip the Inbox): Check this if we want emails from the external mailbox to be archived upon receipt (they will not appear in the Inbox, they will be saved in an archive).
    *The connection details of the email box can be found by accessing cPanel -> Email accounts -> Email accounts tab -> on the right side of the email box we will have Connect Devices -> click on Set Up Mail Client -> on the page that loads we will find the connection details of the box.
  • To add the mailbox, we will click on Add Account.

  • In the next window, we can choose whether we want to send emails from this mailbox using the Gmail interface. If we want this, we will check Yes and click Next.

  • Next, we will be able to customize some settings for sending emails from the configured mailbox. The fields will be completed as follows:
    - Name: The name we want to appear as the Sender.
    - Treat as an alias: If the mailbox is personal, it is recommended to check this option.
    - Specify a different "reply-to" address: Here we can specify alternative addresses for email recipients to reply to.
    To proceed, we will click on Next Step.

  • We will set the connection details to the external email server. The fields will be completed as follows:
    - SMTP Server: The address of the mail server where the external mailbox is located. This can be the domain name, IP address, mail.domain.tld, etc.
    - Port: The port of the external server for Gmail to connect: 465 for secure connection or 26 for insecure connection.
    - Username: The external email box.
    - Password: The password for the external email box
    - Select the type of security: Secured connection using TLS (recommended).
    After filling in the details, we will click on the Add Account button.

  • After adding the mailbox, Gmail will send a verification email to it. We will either need to access the link in the email or enter the confirmation code from the email into the Enter and verify the confirmation code, field, then click on the Verify button.

  • If everything went smoothly, the emails sent to the configured mailbox will also be present in the Inbox of the Gmail interface. Similarly, if we followed the steps for SMTP, we will also be able to send emails from the configured address.
