Emails go to the Spam folder: Causes and solutions

In some situations, the emails you send to various recipients may end up in the Spam folder. This issue can have multiple causes, the most common being the following:

1. The allocated IP of the hosting is listed in a blacklist

  • The allocated IPs for hosting (shared or dedicated) are checked daily by Hostico, and if they are listed, measures are taken for delisting. At the same time, the cause of the listing is identified and resolved.
  • On shared hosting, if an account sharing the IP is infected or generates SPAM messages, the IP may be listed in blacklists, affecting all accounts using that IP.
  • Solution: To avoid this issue, it is recommended to purchase a dedicated IP.

2. The local device's IP is listed in a blacklist

  • If the local device's IP used to send emails is listed in a blacklist, this can lead to messages being blocked.
  • Solution: Check your local IP for blacklisting by accessing the guide: Check IP Blacklist.

3. Emails have been marked as Spam by recipients

  • If recipients have marked your emails as Spam, this affects the sender's reputation.
  • Solution: Ask recipients to mark your messages as "Not Spam" to avoid this issue in the future.

4. The emails do not contain an unsubscribe link

  • The absence of an unsubscribe link can trigger spam filters.
  • Solution: Include an unsubscribe link in all newsletter or promotional emails.

5. The subject or content of emails triggers spam filters

  • Free email providers (Google, Yahoo, etc.) have extremely aggressive antispam filters. Keywords in the subject or content can trigger these filters.
  • Solution: Check the content of emails using websites that analyze and identify problematic keywords: Check SPAM keywords.

6. Emails contain attachments known to be malicious

  • Attachments of type .exe, .bat, .jar, .rar etc. are frequently blocked by antispam filters.
  • Solution: Use only document-type attachments (.txt, .pdf, .docx, .xlsx), especially when sending emails to recipients who use free email services.
